Purpose

Estimate the capacity value and operating cost of one workflow using explicit assumptions. Separate one-time setup from monthly costs. Capacity value represents time valued at your chosen rate; it is not automatically cash savings. This is workflow planning, not an investment recommendation.

When to use it

Use it when comparing manual work with a bounded trial and again after measuring actual review, correction, and maintenance effort. Unknown inputs should remain blank until you have an estimate you can explain.

Interactive and reusable worksheet

Enter your own estimates in USD; no exchange conversion is performed. All fields are required for an estimate. Blank means unknown, not zero. Enter zero only when you mean zero. Values stay in page memory; refresh clears them. Nothing is submitted or saved automatically.

Nonnegative values only. Volume must be an integer. Minutes, USD amounts, and hours accept up to two decimal places. Use ordinary decimal notation.

Unknown: fill every numeric input to calculate an estimate.

Formulas, visible without JavaScript

Monthly capacity value = volume × (baseline minutes − review minutes − rework minutes) ÷ 60 × hourly value.

Monthly net benefit = capacity value − subscriptions − usage − maintenance hours × hourly value.

One-time setup = setup hours × hourly value + external setup expenses.

Estimated payback months = setup ÷ positive monthly net benefit. If monthly net benefit is zero or negative, the result is “No positive payback under these assumptions.” Negative capacity and net benefit remain negative; they are not reset to zero. Calculations use unrounded values, with displayed results rounded to two decimals.

Filled synthetic example

All values below are hypothetical USD planning assumptions, not current vendor prices or observed results.

InputExample
Monthly volume120 items
Baseline minutes8.00 per item
Review and remaining handling minutes3.00 per item
Average rework minutes1.00 per item
Hourly valueUSD 30.00
Monthly subscriptionsUSD 20.00
Monthly usageUSD 10.00
Monthly maintenance2.00 hours
One-time setup5.00 hours
External setup expenseUSD 50.00

Capacity = 120 × (8 − 3 − 1) ÷ 60 × 30 = USD 240.00/month. Net = 240 − 20 − 10 − 2 × 30 = USD 150.00/month. Setup = 5 × 30 + 50 = USD 200.00. Estimated payback = 200 ÷ 150 = 1.33 months, rounded.

Instructions

Use one monthly period and a consistent definition of eligible items. Include all remaining per-item work in review/handling time. Average rework over every eligible item, including those needing no correction. Record subscriptions and usage attributable to this workflow; state how shared charges are allocated. Maintenance includes source updates, failure review, and retesting. Setup includes design, data preparation, testing, and training.

Do not count the same effort in both setup and recurring maintenance. Zero is an explicit assumption, never a substitute for a missing price. Copy notes into your own document to keep them.

Interpretation and sensitivity

Keeping the example’s other inputs, increase review to 6.00 minutes. Capacity becomes USD 60.00 and net benefit becomes USD −30.00. There is no positive payback. With review at 5.50 minutes, capacity is USD 90.00 and net is zero, also giving no positive payback.

With the original review time but volume reduced to 60, capacity becomes USD 120.00, net USD 30.00, and payback 6.67 months. Try changes to volume, rework, and maintenance separately so you can see which assumption drives the result. Never let favorable arithmetic override missing permissions or failed acceptance tests.

Limitations and sources

This original calculator is a simplified workflow-planning model. It does not include taxes, financing, or unmodeled business effects. The synthetic example is arithmetic evidence only, not an ROI claim. Check estimates against actual account charges and observed work before relying on them.
